Terms and Conditions

BOOKING TERMS, CONDITIONS AND CANCELLATION POLICY

All bookings are taken subject to acceptance on the Terms and Conditions below.

ARRIVAL is anytime after 2:30pm. 

DEPARTURE is by 10.30am but we know sometimes it’s hard to leave so please enquire about staying a little longer if required.

Tentative Bookings can be held for 2 days with the confirmation from owner, after which a 50% DEPOSIT is required to confirm your reservation. Full payment may be required at the time if a booking is made  at short notice.

Payment in Full is required 7 DAYS in advance for all bookings, unless alternative arrangements have been made with  management.

If for any reason the payment is not received by the due date we reserve the right to cancel your booking and apply appropriate cancellation charges.

**A Minimum Booking of ONE WEEK applies to CHRISTMAS/JANUARY and School Holidays. Payment in Full is required 30 DAYS prior to arrival.

A $50 Cancellation  /Administration Fee applies to ALL canceled bookings.
A credit card number and drivers license are required for damage/security purposes. Pennyroyal Otways Retreat is authorized to deduct monies to cover the cost of additional/excess cleaning, damages, repairs, replacement of goods, late departures or any other breaches of these terms and conditions. This includes leaving unwashed dishes & smoking inside.
Any Additional Fees will be charged to guests’ Credit Card facilities upon their departure.
Accommodation must be left in a clean and tidy manner removing all rubbish, bottles, food and personal items.


ALL COTTAGES ARE NON-SMOKING   A fee of up to $250 applies if smoking inside the cottages has occurred. This charge covers the costs associated with removing cigarette smoke from soft furnishings, carpets, bedding etc. There are ashtrays out on balconies but please be conscious of disposal.


If a Credit Card is not available then a Bond may be required as security. This can be paid by Cheque, Money Order or Bank Transfer prior to arrival.

We reserve the right to substitute accommodation units if necessary.

Pennyroyal Otways Retreat will accept no responsibility for any inconvenience with machinery breakdown. Pennyroyal Otways Retreat will best endeavor to repair or replace will be undertaken.

Standard Industry Cancellation Fees Apply To All Bookings
21 – 60 days prior to booking date – 50% of deposit.

Up to 21 days prior to booking date – 100% of total price.

A cancellation fee of 100% of total price applies 30 days prior to Christmas/ January & School Holiday and Public Holidays as well as bookings longer than 7 days.

These Fees will not apply if accommodation is re-booked to another party. However the $50 Cancellation Fee still applies.

Fire authority warnings for catastrophic fire danger: We reserve the right to postpone your booking should the Country Fire Authority predict a Catastrophic fire day or days for the Great Ocean Road region during your stay. We will hold your deposit until mutually acceptable alternative dates can be arranged.
